Our client, a Investment bank based in Kirchberg is looking for its future Administrative Assistant within their General Secretariat Service.

This will be a temporary contract of 2 months. Please note that this assignment may be extended, in accordance with Luxembourgish law, for a maximum duration of 1 year.

Your responsabilities :

  • Support the Head of Division and assist the team with daily administrative and organisational tasks.
  • Prepare and format documents, presentations, reports, briefing notes, and meeting materials.
  • Coordinate internal document approval and distribution processes.
  • Assist with monthly operational reporting by gathering and organising information.
  • Maintain databases, internal documentation systems, and electronic archives.
  • Organise meetings, seminars, presentations, conferences, and business travel arrangements.
  • Manage calendars and coordinate participation in senior management and board-level meetings.
  • Provide general administrative support including filing, data entry, contact list management, and logistics coordination.
  • Collaborate with other assistants to ensure smooth coverage during absences.
  • Contribute to an efficient, collaborative, and positive working environment.
  • Identify opportunities to improve administrative and organisational processes.

Your profile :

  • Secondary school diploma with additional training or certification in administration, business support, secretarial studies, or a related field.
  • At least 3 years of experience in an administrative or assistant position.
  • Strong command of Microsoft Office tools, especially Word, Excel, and PowerPoint.
  • Excellent written and spoken English and French.
  • Knowledge of another European language is considered an asset.
  • Strong organisational and multitasking abilities with attention to detail.
  • Able to manage priorities and work effectively under tight deadlines.
  • Good communication and teamwork skills.
  • Proactive, reliable, and solution-oriented mindset.
  • Comfortable working in an international and fast-paced environment.

Package :

  • Gross hourly: €22.16
  • Leave: 26 days of annual leave + up to 17 public holidays
