Duties & Responsabilities :

ArcelorMittal Europe Tubular Products is a division of the ArcelorMittal Group, and one of the most diversified tubes and pipes producer, servicing markets worldwide from 13 operating locations in 5 countries. With our Small Welded tubes, in Hot Formed or Cold Formed process, and our Seamless pipes, we can offer to the market the largest specification of tubular products in different sizes and steel grades, for many applications including Automotive, Industry & Engineering, and Energy.
The division employs around 1,8000 employees in Europe.

Job Summary:

We are seeking a highly organized, proactive, and professional Administrative Assistant to support our CEO, manage daily office operations, and handle receptionist duties. This is a pivotal role that requires strong multitasking skills, discretion, and a polished communication style. The ideal candidate thrives in a fast-paced environment and enjoys wearing multiple hats.
Key Responsibilities:

1. Personal Assistant to CEO

• Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
• Act as a gatekeeper, prioritizing and handling correspondence and requests on behalf of the CEO.
• Prepare meeting agendas, presentations, and briefing materials.
• Handle confidential information with the highest level of discretion.
• Support the CEO with personal errands or ad hoc tasks, as required.

2. Office Administration

• Oversee the smooth running of day-to-day office operations.
• Order and manage office supplies, equipment, and inventory.
• Coordinate with vendors, service providers, and building management.
• Assist with the onboarding of new employees (e.g., desk setup, welcome kits).
• Maintain records and filing systems (both digital and physical).
• Organize internal events and team activities.

3. Receptionist Duties

• Greet and welcome visitors in a professional and friendly manner.
• Manage incoming calls, emails, and mail distribution.
• Maintain the cleanliness and organization of the front office/reception area.
• Ensure guests are signed in and directed appropriately.

Education :

• Training in business, office management, or secretarial work is preferred.
• A Bachelor's degree or secretarial diploma is a plus

Skills & Specifications :

• Excellent organizational and time-management skills.
• Strong written and verbal communication abilities.
• High level of discretion and professionalism.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Ability to multitask and adapt quickly in a dynamic environment.
• A positive, proactive, and collaborative attitude.
• Familiarity with basic office IT troubleshooting and facilities coordination.

Work experience requirements :

• Proven experience in an administrative or executive assistant role.
• Previous experience supporting executives.

Languages :

• Multilingual skills (English, French, Spanish, any additional language would be an asset).
